Exeter Town-Wide Facilities Condition Assessment RFP
The Town of Exeter invites Facility Condition Assessment Firms to submit proposals to assist in the goal of creating a database and reporting structure to be integrated with Exeter's existing asset inventory and work order system, PeopleSoft GIS.

Scope of Work:
1. Review 2015 Town-Wide Facilities Plan, 2018 Town Master Plan, Public Works Department current work order database and other related reports.
2. Meet with members of the Facilities Advisory Committee (FAC), Public Works Director, Town Manager, Maintenance Superintendent, Town Planner, Water/Sewer Manager to gain understanding of current recurring and future issues
3. Survey core facilities
4. Prepare action recommendations - Scoping, budgeting & prioritization
5. Develop renewal prioritization categories
6. Define renewal need classification
7. Identify energy conservation & efficiency and sustainability projects
8. Data management & deliverables
9. The proposed software tool should provide readily accessible facilities information to support the municipal planning and decision making processes on issues that impact Town facilities.
10. Provide proposed fees associated with hosted management by the FCA team, but editable by Exeter personnel.
11. Provide framework for Facility Renewal Forecasting
Project Schedule:
Exeter's goal is to complete the 2022 Facilities Condition Assessment by November 2022.
Selection process and key facility availability dates are as follows:
RFP Issues - April 15, 2022
RFP Responses Due - May 13, 2022 by 12:00 noon
Shortlisted Teams will be invited to an interview (60 minutes)
Access to other buildings - to be scheduled to avoid disruption of program needs
Final reports with cost information to be completed by October 30, 2022
